Beacon Escapes (“we,” “us,” “our”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your data when you visit our website, make a reservation, or communicate with us.
By using our website (beaconescapes.com), making a reservation, or staying at any property we manage, you agree to the practices described in this Privacy Policy.
1. Who We Are
Beacon Escapes is a short-term vacation rental management company operating properties in Orange Beach, Alabama and the surrounding Gulf Coast area.

2. Information We Collect
We collect information in three ways: information you give us, information collected automatically, and information from third parties.
Information you provide
- Reservation details: name, email, phone, mailing address, age confirmation, number of guests, pet information
- Payment information: card details (processed by Stripe via GuestyPay — we never store full card numbers)
- Government-issued ID (when required by local short-term rental regulations or for verification)
- Communications: messages, emails, texts, and reviews you send us
- Marketing opt-ins: email address and preferences when you subscribe to our newsletter or promotional offers
Information collected automatically
- Device & browser data: IP address, browser type, operating system, referring URL, language preference
- Usage data: pages visited, time spent, clicks, search queries on our site
- Cookies & similar technologies: see Section 8 below
Information from third parties
- Booking channels: when you book through Airbnb, Vrbo, or other OTAs, we receive your booking details, contact info, and review history from those platforms
- Verification services: if we use guest verification tools (e.g., GuestVerify, PetScreening), we receive identity and pet screening results
- Property management software: Guesty syncs reservation and guest data across our connected platforms
- Email marketing platform: Klaviyo collects engagement data (opens, clicks, unsubscribes) on our marketing emails
3. How We Use Your Information
We use your information to:
- Process reservations and payments — confirm bookings, collect payment, send confirmations, issue refunds
- Provide guest services — send check-in instructions, smart-lock codes, house manuals, and respond to inquiries
- Communicate with you — booking updates, pre-arrival reminders, checkout instructions, review requests
- Send marketing emails — only if you opt in. You can unsubscribe at any time using the link in every email
- Improve our service — analyze website traffic, booking patterns, and guest feedback
- Comply with legal obligations — collect lodging taxes, maintain records as required by Alabama and Orange Beach law, respond to lawful requests
- Protect our properties and other guests — verify identity, prevent fraud, document damage claims, enforce our Terms & Conditions
- Operate property security systems — exterior cameras, smart locks, and Wi-Fi network logs as described in our Terms & Conditions
We do not sell your personal information to third parties.
4. How We Share Your Information
We share information only with parties that help us run our business or as required by law:
Service providers (vendors who process data on our behalf)
- Guesty — property management system (reservations, messaging, calendar)
- Stripe / GuestyPay — payment processing
- Klaviyo — email marketing and automation
- ResortCleaning + Lima Cleaning Service LLC — cleaning scheduling and turnover coordination
- Boostly — website hosting and direct booking engine
- Kinsta — website hosting infrastructure (post-DNS migration)
- Schlage / Guesty Locks Manager — smart lock code generation
- Starlink — Wi-Fi service at properties
- Touch Stay (if/when activated) — digital guidebook delivery
Booking channels
- Airbnb, Vrbo, and other OTAs — receive their share of guest data per their own privacy policies when you book through them
Property owners
- We share limited reservation information (dates, occupancy counts, payouts) with property owners for accounting and reporting purposes. We do NOT share your full contact details unless required for a specific incident.
Legal & safety
- We may share information when required by law (subpoena, court order, tax authority request) or to protect the rights, safety, and property of Beacon Escapes, our guests, or others.
Business transfers
- If Beacon Escapes is sold, merged, or restructured, your information may transfer to the new owner under this same policy.
5. Data Retention
We retain personal information for as long as needed to: – Fulfill the reservation and provide guest support – Comply with tax, legal, and accounting obligations (typically 7 years for financial records) – Resolve disputes and enforce our agreements – Maintain a record of past guests for repeat-stay recognition
You may request deletion at any time (see Section 7), subject to legal retention requirements.
6. Data Security
We take reasonable measures to protect your information:
- Payment data is processed exclusively by PCI-compliant processors (Stripe). We do not store full card numbers.
- Account logins to our SaaS platforms (Guesty, Klaviyo, Boostly) are protected with strong passwords and two-factor authentication where available.
- Smart-lock codes are unique per reservation and rotated after each stay.
- Property Wi-Fi networks are segmented (guest network separated from owner network).
- Sensitive communications use encrypted email services where appropriate.
No system is 100% secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security. If we become aware of a data breach affecting your personal information, we will notify you and applicable authorities as required by law.
7. Your Privacy Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your information (subject to legal retention requirements)
- Opt out of marketing emails at any time (use the unsubscribe link in any marketing email)
- Withdraw consent for non-essential processing
- Request a copy of your information in a portable format

California residents (CCPA)
Under the California Consumer Privacy Act, California residents have additional rights, including the right to know what categories of personal information we collect, the right to delete, and the right to opt out of the “sale” of personal information. We do not sell personal information.
EU/UK residents (GDPR)
If you are in the European Economic Area or the United Kingdom, you have additional rights under GDPR, including the right to lodge a complaint with your local data protection authority. Our lawful basis for processing your data is (a) contract performance for reservations, (b) legitimate interest for fraud prevention and service improvement, and (c) consent for marketing communications.
8. Cookies & Tracking Technologies
Our website uses cookies and similar technologies to:
- Essential cookies — required for the site and booking engine to function (cannot be disabled)
- Analytics cookies — help us understand how visitors use the site (e.g., Google Analytics, post-launch)
- Marketing cookies — measure ad performance (e.g., Meta Pixel, post-launch)
- Preference cookies — remember your settings (language, currency, dark mode)
You can control cookies through your browser settings. Note that disabling essential cookies will break the booking engine.
If we add a cookie banner in the future (recommended after GA4 + Meta Pixel are installed), we will give you the option to accept, reject, or customize your cookie preferences.
9. Children’s Privacy
Our website and services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Third-Party Links
Our website may link to third-party websites (e.g., Airbnb listings, local guides, restaurant pages). We are not responsible for the privacy practices of those sites. Please review their privacy policies before sharing personal information.
11. Marketing Communications
When you book with us or opt in via our website, we may send you:
- Transactional emails — reservation confirmations, check-in instructions, post-stay surveys, review requests. You cannot opt out of these while you have an active reservation.
- Marketing emails — promotions, seasonal offers, new property announcements, travel tips. You can unsubscribe anytime using the link at the bottom of every marketing email.
Our marketing emails are sent via Klaviyo. Their privacy practices are governed by Klaviyo’s own privacy policy at https://www.klaviyo.com/legal/privacy-policy.
12. Property Security Disclosures
For the safety of our guests and properties, Beacon Escapes may operate:
- Exterior security cameras and/or doorbell cameras — recording video only (no audio), positioned in exterior or common-area locations (front entry, driveway, exterior). No cameras are installed in any interior bedroom, bathroom, or other private area.
- Smart locks — log entry/exit timestamps for security and operational purposes
- Wi-Fi networks — guest networks are isolated from owner/admin networks; routine network logs are kept for troubleshooting
By staying at one of our properties, you acknowledge and consent to these security measures.

13. International Visitors
Beacon Escapes operates in the United States. If you access our site or book a stay from outside the U.S., your information will be transferred to and processed in the United States, which may have different data protection laws than your country of residence.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The “Last Updated” date at the top of this page reflects the most recent revision. Material changes will be communicated via email to guests with active reservations or via a prominent notice on our website.
Continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
